The whole team suffers when work gets delayed after planning and scheduling everything. Firstly, everyone’s work relies on other team members. If one person delays something, that will automatically make things difficult for other team members if there are time constraints. And there will always be deadlines to achieve. So to work hassle-free we need to ensure we avoid delays. 

1. Having healthy discussions before designating work

Teamwork suggests that the whole team would contribute. Every team member has a unique perspective or insight on a topic. Therefore, every person’s opinion has value. When working together, it is essential to discuss all the parameters of work with the people who will practically be performing those tasks. 

We’ve all been there where we have great meetings and discussions, but the outcome from that meeting/discussion isn’t as expected. This happens due to a lack of a proper way to gather the meeting points or not having an innovative way to do so much more effectively. So it is helpful to use tools and practice ways which can help add more value to those discussions. 

In this manner, because the delegation of work will be better, the chances of delay will automatically reduce.

2. Set achievable goals

The best way to avoid delays is to set achievable goals. Knowing what someone is capable of and assigning them work based on their ability and potential. Sometimes people indeed need a push. It is true that some people work better under pressure. But it is better to take calculated risks and not give them more work than they can handle. 

When someone is not exactly skilled to finish a work in the given amount of time, it is quite natural for the work to get delayed. 

Therefore, delegating work in a realistic way while keeping in mind the doability of the task by the doer will avoid delays.

3. Plan well

Planning is one of the most crucial factors that decides how will all the work get done on time. Proper planning is essential to ensure everything in your team takes place smoothly. A good plan also considers the possible parameters of where things could go wrong. However, even after considerable planning, there will always be changes that will keep happening. Work can get reassigned to another person or the due date to finish that work might also need to change in future. Therefore, we should try to maintain a certain amount of balance between a realistic approach and the level by which we can stretch ourselves to meet our goals. 

Carrying out all of this manually is very difficult for a single person. Using a tool to help you with the planning and management of tasks for your team will make this process easy and efficient. And when the method of planning and delegation is in place, delays will get reduced significantly. 

4. Scheduling the work to avoid delays

One of the ways to avoid delays is by scheduling the work. Scheduling tasks that are going to get repeated and using a tool that can automate this process can reduce the overall delay that can take place. 

Imagine there’s a task that will supposedly get repeated at certain intervals of time, but there is no tool to help schedule that task. In that case someone will have to perform the task to remember when to assign that work to someone. But relying solely on our memory to do this job can sometimes lead to errors. Because often people are so preoccupied that they can easily miss out on such details. Such a scenario also leads to delays, because a task can get missed due to a lack of a proper system to remind us here.

5. Adapt to the modern approach of keeping track of work

To avoid delays, we must keep a track of the work that’s happening. However, the traditional way of tracking work suggests that the manager constantly keeps asking employees how much progress is taking place in their work. But this approach is out of date. 

The modern way of working suggests that we use tools that would help us keep track of the work assigned to our teams. Wherein following up on team members won’t be dependent on an individual. On the contrary, a system would be able to carry this out. 

A tool can act as the extended arms of a manager or an employee. 

Therefore, 

  • It is more reliable
  • Promotes a healthy relationship between the manager and the employee 
  • Keeps a track of the work getting done in the most accurate way possible.

Avoiding delays is fundamental for team performance. Earlier, there weren’t very useful methods to tackle this problem. But in the present situation, technology has come to aid and can be used exponentially to improve working conditions. So with some effort, it is possible to eliminate delays in work. All we have to do is use our resources well and keep adapting to new developments.
